You arrange the venue and the organiser’s approval. We bring the hospitality.
The format
A hosted lounge or a sponsor space earns its floor when it has a visible anchor, service that moves and a drink worth talking about.
At AIME 2026 the cockpit DJ booth gave the Hosted Buyer Lounge a focal point and a programmable sound level, the airline trolley bar moved service through the room rather than queuing it at a counter, and the botanical menu ran through daytime sessions with non-alcoholic serves alongside.
Formats
Each format has its own inclusions and its own site demands. The cockpit DJ booth is a separate asset from the full aircraft fuselage, and neither is assumed in a trolley-led brief.
The cockpit DJ booth as the lounge anchor, an airline trolley bar for service, curated sound and a daytime drinks programme. Built for bureaux, organisers and sponsors hosting decision makers across several days.
An airline trolley bar on the stand with a hosted crew, serving a short menu paced to the floor’s busy periods. Depends on the organiser’s catering rules for stands.
A trolley fleet placed where delegates gather between sessions, with the sponsor’s brand on the surfaces and in the drink. The Skyline Bar suits a break that uses an outdoor or dock-accessible space.
Arrivals service from the trolley fleet, with the DJ trolley or the cockpit DJ booth where the room allows, so the reception has a focal point from the start.
The Shorts 330 aircraft fuselage for precinct activations, launch days and outdoor sponsor programmes. A separate scope with its own site assessment, never assumed in an indoor lounge brief.
Non-alcoholic serves can be designed alongside the cocktail menu, and a fully alcohol-free daytime programme can be scoped. If any guest needs drinks with no alcohol at all, tell us so every ingredient can be checked with you.

Multi-day service
Conference service runs across days, so the plan covers restocking, crew and the venue’s dock before the first delegate arrives.
Bump-in inside the venue’s dock window, power and audio check, menu and non-alcoholic serves set, crew briefed to the organiser’s schedule.
Crew rotation and restock planned around the dock, a short menu for peak periods, water and non-alcoholic serves visible at every service point.
Bump-out to the venue’s schedule. A post-event service summary can be provided where a counting method is agreed before the event.
Sponsors and branding
Trolley surfaces, the Skyline Bar’s brand panel, menu cards and named drinks can carry the sponsor or exhibitor identity. Artwork is supplied to our templates, with lead times and venue approvals set in the proposal.
Venue approvals
Convention centres commonly control catering and beverage service in their halls, and each has its own dock, bump-in and contractor requirements. Venues treat ordinary stand catering, permitted product sampling and a separately negotiated hospitality installation differently, and a previous installation at a venue is not blanket permission for another exhibitor.
External beverage service inside a venue depends on the organiser and the venue approving the arrangement. We work through that with you before anything is promised to a sponsor. AIME 2026 was delivered inside MCEC as part of the event’s Hosted Buyer Lounge.
What we ask for at scoping: the hall or stand location, the dock and bump-in windows, power, floor loading where the cockpit or Skyline Bar is proposed, the daily service hours and the venue’s catering policy. The written proposal then sets out inclusions, responsibilities, logistics and price.

How the enquiry works
Organisation, contact details, the event, its dates and the venue, or select “Date not confirmed yet”. Delegate numbers, the format and a budget guide help us understand the brief.
A scoping call on the format, the venue’s catering policy, the dock and the daily hours. We tell you what the venue can take and what needs its approval.
For a suitable brief, a written proposal covering assets, crew, service days, inclusions, responsibilities, logistics and price.
Only with the organiser’s and the venue’s approval, because venues commonly control beverage service in their halls. We confirm the venue’s policy at scoping before anything is promised to a sponsor.
Yes. Multi-day service is planned as a programme: crew rotation, restock around the dock, a short menu for peak periods and the same presentation on the last day as the first.
A single airline trolley bar with a hosted crew suits a stand, subject to the organiser’s catering rules for stands. Product sampling and a hospitality installation are treated differently by venues, so we check the exhibitor manual with you.
Yes. Artwork for trolley surfaces and the Skyline Bar panel is supplied to our templates, with lead times and venue approvals agreed in the proposal. Named drinks and menu cards are written with the sponsor and signed off before print.
Yes. Non-alcoholic serves can be designed alongside the cocktail menu on the same botanical base, and a fully alcohol-free daytime programme can be scoped.
Trolley’d is Sydney-based with a Southern Highlands operating base and deploys nationally by scoped arrangement. AIME 2026 was delivered in Melbourne. Transport, crew and access are confirmed in the proposal.
For conference work the venue usually sets the timeline: dock bookings, contractor inductions and sponsor artwork approvals each have their own deadlines. The cockpit DJ booth needs the venue’s floor and power answers first, and anything involving the aircraft fuselage is a separate outdoor scope with its own lead time. Share the event dates and venue early.
Bookings reviews the brief, confirms the venue and format questions above, and proposes a scoping call. A written proposal follows for a brief that fits.
